I, Chase Jelliffe, as Assistant Head Coordinator, hereby propose the following change to Administrative Bylaw 3.2:




Administrative Bylaw 3.2 Before:



  1. Discussion

    1. Discussion on said [PROPOSAL] shall begin immediately and last for at least a week and the proposal shall be posted on the voting page for record keeping. This week is considered the discussion period.

    2. To suggest a formal change to the proposal, in the subject of the message include [AMENDMENT] and in the body of the message include the description of what is suggested. Any Amended proposal is considered [Withdrawn] and Proposed again with the changes included.

    3. The original author of the [PROPOSAL] may accept or reject amendments at their own discretion.

    4. Any official amendment to the proposal resets the discussion week allowing for an additional seven days for any objection or second to be applied. The [PROPOSAL] must also be updated on the website by a member of the Executive Team.

    5. If requested, the Head Coordinator can extend the discussion period on a proposal up to 7 days.

 



Administrative Bylaw 3.2 After:



  1. Discussion

    1. Discussion on said [PROPOSAL] shall begin immediately and last for at least a week and the proposal shall be posted on the voting page for record keeping. This week is considered the discussion period.

    2. To amend the proposal, the original author of the proposal must withdraw the proposal by stating they are withdrawing it in an email response and including [WITHDRAWN] in the subject line. The amended proposal is then proposed in a separate email thread with [AMENDMENT] added to the subject line. Should there be additional amendments, they are to be numbered as [AMENDMENT 2], [AMENDMENT 3], and so on.

    3. Any official amendment to the proposal resets the discussion week allowing for an additional seven days for any objection or second to be applied. The [PROPOSAL] must also be updated on the website by a member of the Executive Team.

    4. If requested, the Head Coordinator can extend the discussion period on a proposal up to 7 days.




Reasoning: This is inline with how most people have been amending proposals. The way as written makes it very difficult for administrators to track as Google isn’t consistent with subject line changes or keeping threads separate.
